Guide to our presenters

Please arrive at the hall with time to spare to avoid peak times at our reception areas.

For presenters, complete the data check on the operation desk in each room at least 15 minutes before the start of the applicable program. If you have any role to play in the program, please enter the room no later than 10 minutes before the program's beginning. The chairperson should start each session on time. Each presenter will present according to the chairperson's instructions. Strictly comply with the scheduled session time and each planned presentation time.

Your presentation

1. Preparation of data to be presented

Size of slides (resolution): The size of 16:9 (1920 × 1080) is recommended.
Note: You also can use the size of 1280 × 720, 1440 × 1080, and 960 × 720.

You are asked to disclose any conflicts of interest (COI) in your presentation. All presenters must include a disclosure statement for COI on the second slide (the slide following the title slide) of the presentation file, regardless of the presence or absence of any COI to be disclosed.

2. Reception of data to be presented

Place to receive your data: At the operation desk located in front of each room
Note: Ensure that the data is thoroughly checked no less than 15 minutes before the start of the applicable program.

You can bring the presentation data via a personal computer (PC) or a USB memory stick. We kindly recommend that you bring the data via a USB memory stick. You will also be required to prepare and bring video data other than the slide file in the event that the slides cannot be seen in your presentation.

■ If you bring your data via PC

You can use either Windows- or Macintosh-format data for presentation.

An interface called "high-definition multimedia interface" (HDMI) is required for transmitting data to a monitor. Each presenter must bring a conversion connector. You cannot borrow the connector. If you wish to bring a PC with the connector, please also bring your presentation data aside from the PC because output could be insufficient. Please note in advance that you cannot connect your computer using any way other than the above.

Deactivate the screensaver and power-saving mode in advance.

Be sure to bring your AC adapter.

Make sure to save a backup of the presentation data to prevent data loss from your PC.

Bring your backup data via a USB memory stick as well.

Any files containing video must be confirmed to play properly at the PC reception desk.

If you use video or audio data, be sure to tell our operating personnel as such when you check the data.

■ If you bring your data via USB memory stick

You can use only Windows-format data.

We will provide you with the following software and application for your presentation: Windows PowerPoint 2019 and Windows Media Player (video application) (Windows Media Player MP4 is recommended.)

Do not save any data on the USB memory stick other than what you will present on the date of the session (i.e., the final data for the presentation).

Be sure also to prepare backup data. Please note in advance that we are not responsible if you forget to bring your backup data and if you thus cannot present in the session.

We have experienced some cases in which a virus was transferred to computer systems via infected media. Therefore, thoroughly scan your USB memory stick with up-to-date anti-virus software.

To ensure the smooth facilitation of the session, we cannot permit the use of presenter tools.

Operation procedures during the presentation

Please arrive at the hall with time to spare to avoid peak times at our reception areas.

You will present by operating a remote presentation system installed on the stage. Our operating personnel will display your PowerPoint files for presentation on the screen. Then, you will confirm how to operate the slide files by pushing the forward and backward buttons. For the above purpose, we will copy your presentation data onto our PC on the desk in the hall room. Please do not hesitate to let us know at the PC reception desk if you would like to operate your own PC for your presentation on the stage. (Our specialized staff members will operate PCs and audio equipment in each room.)
